Here is a sample release, dissected to highlight the important parts

1 - A standard introduction for a press release

2 - Who to contact for more information.

Be sure to include address and phone number.

Warner Center (Your Group’s Name) Club

3 - Succinct title that entices the reader.

Kiwanians Don Aprons For Benefit Banquet

4 - Begin with the location and date, followed by an introduction covering all major points. Try to include the 5 Ws (Who, What, When, Where, Why) in the first two sentences. Woodland Hills, January 5, 2003 — (Your Group’s Name) volunteers will switch their business suits for aprons on Friday, February 20 and serve as waiters and waitresses at a benefit banquet for the Pacific Boys Lodge. Proceeds from the event, to be held at the Warner Center Hilton, will be used for repairs of aging buildings at the youth facility.

West Hills, February 20, 2003 — Had your blood pressure checked lately? What’s your pulse rate? Find out on Saturday, March 7 when the combined (Your Group ‘s Name) clubs of Calabasas, Warner Center and Woodland Hills sponsor a Health Fair at Topanga Plaza.

5 - A quote by a company representative adds credibility to your release

6 - Include information about why this event is newsworthy.

A tip: Often, as in the two examples, this can be combined with the quotes from people involved.

7— Remember: Names Make News! Especially in local media.

Include names of key local people involved in the activity.  Editors of weekly neighborhood newspapers love it!  Just don’t overdo and by to list everyone in your group.

“Several Lodge structures have suffered damage from quakes and heavy rains in recent years,” explained Harry Oakley, facility executive director.   “This banquet will help raise funds for sorely-needed repairs”.

 

“Blood pressure and heart rate readings are only two of the free services that will be available,” reported Dr. Val Radney. “We will also provide several tests that require lab work at bargain rates.  Remember, early detection is the best defense against most health problems, so join us at the Health Fair.”

 

8 - Conclude with further contact information

Give information on your local group (e.g. how long in existence) and always include an invitation for guests or people interested in learning more about (Your Group’s Name) activities to attend a meeting, complete with date, time and location of meetings. You might also include “boiler plate” on (Your Group’s Name) similar to following:

(Your Group’s Name) is an organization devoted to the principle of service; to the advancement of individual, community, and national welfare; and to the strengthening of international goodwill (Your Group’s Name) membership spans the globe, with more than 300,000 members in more than 8,000 clubs in 82 countries, giving $70 million and 7 million volunteer hours for community service each year.
